Inviting Your Team

Pingd is built for sales teams. Here's how to get your reps, managers, and admins set up.

Invite Methods

Email Invitations

  1. Go to Settings → Team → Invite Members
  2. Enter one or more email addresses (comma-separated)
  3. Select a role for the invitees
  4. Click Send Invitations
Invitees receive an email with a link to create their account and join your organization.

For larger teams, use a shareable invite link:

  1. Go to Settings → Team → Invite Link
  2. Click Generate Link
  3. Share the link with your team via Slack, email, or wherever works
  4. Anyone with the link can join your organization
Pro Tip: Invite links can be set to expire after a certain number of uses or after a time period. Use this for controlled rollouts.

Email Domain Auto-Join

Enable automatic joining for anyone with your company's email domain:

  1. Go to Settings → Organization → Auto-Join
  2. Toggle on Allow domain auto-join
  3. Verify your email domain
Once enabled, anyone who signs up with an @yourcompany.com email is automatically added to your organization.

Roles & Permissions

Pingd has three roles:

Owner

  • Full access to all settings and data
  • Can manage billing and subscriptions
  • Can delete the organization
  • Only one owner per organization (transferable)

Admin

  • Can invite and remove members
  • Can configure agent settings and data policies
  • Can view all team members' activity
  • Cannot manage billing or delete the organization

Member

  • Can interact with the AI agent
  • Can view their own data (subject to data access policies)
  • Cannot change organization settings
  • This is the default role for new invitees

Changing Roles

  1. Go to Settings → Team
  2. Find the team member
  3. Click the role dropdown next to their name
  4. Select the new role
Only Owners and Admins can change roles.

Removing Team Members

  1. Go to Settings → Team
  2. Find the team member
  3. Click the menu → Remove from organization
  4. Confirm the removal
Removed members lose access immediately. Their historical data (queries, agent memory) is retained for 30 days before being purged.

Access Tiers

Beyond roles, Pingd supports access tiers that control what features are available:

  • Basic — Standard agent queries, meeting prep, insights
  • Power — Everything in Basic + custom instructions, scheduled tasks, advanced analytics
  • Admin — Everything in Power + agent configuration, data policy management
Access tiers are configured by your organization admin. See Managing Users & Roles for details.

Best Practices

  1. Start small — Onboard 3-5 reps first, gather feedback, then expand
  2. Set up data policies first — Before inviting reps, configure data access policies so each rep sees only their relevant data
  3. Assign an admin — Have at least one other admin besides the owner for coverage
  4. Use Slack channels — Create a #pingd-tips channel where your team shares useful queries and tricks
